Business Value and Return on Investment
How to work out whether custom software will pay for itself, and where to start.
Mostly by removing manual work: re-keying data, chasing information, reconciling spreadsheets and fixing errors. It also reduces the cost of mistakes, delays and decisions made on out-of-date information. We focus on the processes where those costs are highest.
We work this out with you during scoping. We look at how often the task happens, how long it takes, how many people do it and how often it goes wrong. That gives a realistic estimate based on your numbers, not a generic figure.
Start with what the current process costs each year: staff hours multiplied by their cost, plus errors, rework, delays and missed opportunities. Compare that with the build cost and ongoing costs. If the annual saving pays back the investment in a reasonable period, the project stacks up.
Often, yes. When a process depends on manual effort, more work means more people. Automating it lets your existing team handle more volume and spend their time on work that needs their judgement.
Yes. This is one of the most common things we do. We turn spreadsheets and paper forms into a proper multi-user system, bringing your existing data across so nothing is lost.
It depends on the problem being solved, which is why we recommend starting with the process that costs you the most. Because work is delivered in Work Items, you start using working software, and seeing its benefit, before the whole project is finished.
Common signs are staff working around your systems, the same data entered in several places, spreadsheets only one person understands, and software that can’t keep up with how you now operate. Our first conversation is free, and if custom software isn’t the right answer we will say so.
The cost of the current process keeps running, and usually grows as the business grows. Older systems also carry rising risk: unsupported technology, security gaps and key knowledge held by one person. Doing nothing is a decision with its own cost.
Sometimes, and we will tell you when that is the better option. We can extend or modernise parts of an existing system, or replace it in stages while the rest keeps running.
We start with the problems that cost the most in time, errors or risk, and that can be solved in a well-defined first stage. Quick, measurable wins build confidence and fund the next stage.
