Overview

GGC approached Ocom Software in 2019 to build them a system to manage their operations and centralize their data on the Cloud. The system started off as a basic Quoting and Job Tracking System and has grown to include a number of other features as their business has evolved.
The Hub system is a fully integrated cloud system that seamlessly shares data between all the various components to reduce data entry and streamline information. Each user has a secure login to access the system. Each login will determine which parts of the system they can view or edit.
The system now has the following components:
- Quoting—A quoting system that works out the costs for each Job and Generates documents with the quote details.
- Job Tracking—A Job tracking system to collect all the information about a Job in one central location.
- Task Allocation—Tasks for Jobs can be allocated using a Visual allocation table, so resource planners can see who is allocated to what jobs quickly at any given time.
- Time Sheets—Efficiently collect the hours worked on a job for each employee in an accurate way for reporting.
- Expense Tracking—Track the expenses associated with each Job to ensure Jobs stay on Budget.
- Tag Inspection—Makes sure all Tags are regularly inspected for safety and compliance.
- Variation Tracking—To record variations that occur with a job so nothing is forgotten.
- Incident Register—Tracks any Incidents in one place.
- Employee Ticket Register—Ensures Employee Tickets are kept up to date and are compliant.
- Gear Register—Records the movement of Gear between Yards and Sites so no Gear is lost or misplaced and can be accounted for at all times.
- Rigging Register—Ensure Rigging Gear is tested and compliant before use.
- Reporting—A library of reports for analysis and decision making.
- KPI's—The system visually shows if a Job is On track or not.
- Document Management System—A document management system to keep Procedures and Policies in one place so there is easy access to them
The Challenge
GGC Industries faced the significant challenge of sharing critical business data across multiple locations throughout the country while keeping all their operational information centralized and accessible. With teams working from different sites and various departments needing access to job information, quoting data, and project updates, they struggled with data silos and disconnected systems.
The company needed a way to ensure that whether someone was in the head office or working remotely at a job site, they could access the same up-to-date information. Traditional methods of sharing data through emails, spreadsheets, and separate systems created confusion, version control issues, and delays in decision-making. They required a cloud-based solution that would centralize all their business operations while maintaining security and allowing different user access levels based on roles and responsibilities.
