Buds to Blooms hires beautiful Silk flowers to corporate and hospitality. They decided to use Electronic Forms to streamline the delivery process. In the past the driver would have his diary which contained a hand written run sheet. With the run sheet they would make all the deliveries. Once the deliveries where made the sheet was then handed back to the owner. She would spend half a day re-writing all the deliveries next to each customer to ensure that the customer did not get the same arrangement twice in a short period.

Some times the driver would be asked to change the arrangement and this would mean going through the diary and ensuring that they were not getting the same again. Then the driver would change the run sheet to reflect the changes.

In whole the process was very labour intensive but it was all part of providing the best customer service they could.

We created a system which allowed Buds to Blooms to track which arrangements where delivered to the customers. Instead of half a day the owner can spend half an hour a week updating the system so they can keep track of the history for their customers.

Do you struggle to keep track of the hours spent on a job? Do you struggle to keep your timesheet up-to date? Are you losing money because you have not kept track of the hours spent on a job?

Is Payroll struggling to process all the hand written timesheets? Are the timesheets going missing on the way to Payroll? How much time is being wasted chasing timesheets? How much time is wasted decoding the timesheets only to discover the form has been filled out incorrectly in the first place?

Are you managers struggling to approve all the timesheets? Is this creating a burden for management?

Are you still getting your employees to login to MYOB or Quickbooks just to use the timesheet application?

Do you need a Smart Online Electronic Timesheets System?

If you are service industry that bills on time and materials or simply need to keep track of your employee’s time you need a timesheet application. There are of cause many different versions of a timesheet, there are just as many implementations of timesheet software. We have implemented Online Electronic Timesheet tracking in many of our systems.

Some solutions are simple online forms in which the staff member fills in the timesheet then generates a report which is printed off. In this case the form is 100% legible because it’s printed; the existing process of getting sign off from the manager is still possible with the printed copy.

Below is an example of some of our online electric timesheet forms.

Business Case

When we build software we usually build into the software to ability to notify us (Ocom) when there is an error in the program. If the user has done something which cause the solution to fail we instantly get email notification of the error.

Our users love it because we can (in some cases) ring them in advance and open with “I see your having an issue with XYZ, can you please tell me what you where doing before the error occurred?” The user is usually blown away by the fact we know of the issue and our willingness to solve the problem. We hate bugs as much the user and unfortunately they do happen but if we can fix them quickly it make everyones life easier.

Another bonus is that it’s easier to get a detailed description of what the user was doing just after the event rather than 2 hours later when they get round to letting you know “The software doesn’t work” And if they do beat us to the punch atleast we have a description of the error we can track without having to rely in the user sending us the error message.

Technical Details

We usually use a combination of Log4J or Log4Net to use the SMTPAppender. When an Error level event is added to the log, the log (for the last few minutes) and the exception is sent to our support email address.

We also send to separate support emails for the client so we can filter the email in GMail based on the email address it was sent to and forward to the right support person.

For details on how to setup your Log4J to send email notification check out Burts Blog or google for “SMTPAppender GMail‘
